Aug. 6 (Bloomberg) — Commercial property deals have increased in the first half of 2010 as investors look to take advantage of lower prices for office, apartment buildings and hotels. U.S. commercial property prices are down 39 percent from 2007 peaks, according to Moody’s Investors Service, creating a potential investment opportunity in major markets such as New York and San Francisco, Bloomberg’s Monica Bertran reports. Excel spreadsheets and the old standby of pencil and paper may be the organizational weapons of choice for some property managers, but too often their methods begin and end there. There are plenty of cheap, user friendly specialty tools that property managers may choose from that are much better than using Excel. When considering these alternative tools, avoid those that require long-term contracts or that have recurring fees attached. It is important to be able to cancel if needs be without paying a price. Go with programs that include customer support and tutorials as part of the subscription because some property management programs may require a little assistance in order to sift through all of the available features. Support and training does not do you any good, however, if they are not available when you need them; therefore be sure that the software companys office hours are extended, especially if time zone differential is an issue. In addition, be sure that the management program has been developed by an expert instead of someone who has limited experience. A developer who actually spent some time in property management is more likely to address all of its issues, from single-family homes to commercial property investment. What follows is a list of some of the main features that you should look out for when deciding which property software to buy…

- Efficient data management. All of your time should not be wrapped up in entering records and data, so choose a program that does this quickly and easily. If you are unsure whether the program matches your skills, many programs offer trial versions for you to decide.

- A full accounting package. Whether you prefer the simplicity of cash or the detail provided by an accrual method, the management program you purchase should support it. And, because a property manager is continually reading reports and calculating late fees and discounts, pick a program that does it automatically. The reports should be available at any time and for any period.

- Check writing. When you have to deal with a lot of checks, it is great to be able to just print them off with a click of a button. Not having this feature in the property management software that you choose will cost you a lot of time in the long run. Your software vendor should be able to put you in contact with a company that makes the kind of check forms you will need to print on to.

- Reminders. As a property manager, there will be plenty of important appointments and projects that you do not want to forget, so choose a program that offers automatic reminders either as pop-ups or emails. Be sure to send automatic reminders especially for late rent payments and leases that are about to expire.
